1. Overview
This Billing and Cancellation Policy applies to paid Prehoos subscriptions, unless an Order Form states otherwise. It forms part of the Prehoos Terms of Service between Customer and ENTERACT LLC.
2. Fees and billing cycles
Subscription fees may be billed monthly, annually, or on another cycle stated in the Order Form, invoice, checkout page, or plan page. Fees may depend on plan, modules, usage, number of properties, number of rooms, number of users, integrations, support level, implementation services, or custom terms.
3. Automatic renewal
Unless an Order Form states otherwise, subscriptions renew automatically for successive billing periods until cancelled according to this policy. Customer authorizes Company or its payment processor to charge the payment method on file for recurring fees, applicable taxes, and authorized charges.
4. Trials and promotions

5. Taxes
Fees are exclusive of taxes unless expressly stated. Customer is responsible for taxes, VAT, GST, sales tax, withholding tax, bank fees, payment processor fees, foreign exchange costs, and similar charges arising from its purchase or use of Prehoos, except taxes based on Company income.
6. Failed payments and late payments
If payment fails or is overdue, Company may notify Customer and attempt to charge the payment method again. Company may suspend, restrict, downgrade, or terminate access if undisputed fees remain unpaid. Customer remains responsible for unpaid fees and reasonable collection costs where permitted by law.
7. Cancellation
Customer may cancel according to the method made available in the account dashboard, by contacting support, or by following the process stated in the Order Form. Cancellation stops future renewals but does not automatically refund fees already paid unless this policy, the Order Form, or applicable law requires a refund.
To avoid renewal, Customer should cancel before the renewal date. If Customer cancels during a billing period, access may continue until the end of the paid period unless Company terminates for breach or Customer requests earlier closure.
8. Refunds
Except where required by law or expressly stated in an Order Form, paid fees are non-refundable. Company may provide refunds or credits at its discretion, but doing so in one case does not create an obligation to do so in another.
9. Upgrades and downgrades
Upgrades may take effect immediately and may result in prorated or full-period charges. Downgrades may take effect at the next billing period unless Company allows otherwise. Downgrading may reduce features, usage limits, modules, support level, integrations, storage, or access to historical functionality.
10. Billing disputes
Customer must notify Company of billing disputes within thirty (30) days after the invoice or charge date by contacting billing@prehoos.com or support@prehoos.com. The notice should include the account name, invoice number, disputed amount, and reason for dispute. Customer must pay undisputed amounts on time while the dispute is reviewed.
11. Account closure and data export
Before cancellation or termination, Customer should export records it needs to keep. After the applicable export window, Company may delete or anonymize Customer Data according to the Terms, Privacy Policy, and DPA.
12. Changes
Company may update this policy from time to time. Material changes to billing practices for active paid subscriptions will be communicated by reasonable notice unless changes are required by law, payment processor requirements, taxes, fraud prevention, or security reasons.
